Purpose
When you use Waahi Whaanui service, you will be asked to provide information about yourself and your family. Whaanui will tell you why the information is needed and who will use it. In general terms it will be used to ensure that our services meet your needs. When you give personal information to Waahi Whaanui staff, the law states that it is being given to Waahi Whaanui Trust as an organization and the Privacy Act applies. However, selected laws override the Privacy Act. When Waahi Whaanui uses personal information, it will be:
- Relevant and necessary for the service you are receiving.
- Accurate and up to date.

You may be asked to provide the information in one of two ways:
- Complete forms giving information about yourself and your family.
- Discuss personal issues on a one to one basis with a staff member.
Collection
All information will be collected directly from
you or someone you authorize, and may
release personal information about you unless:
- This will invalidate the purpose of collection.
- The information is publicly available.
- It is being collected for law enforcement purposes.
Storage and Security
Waahi Whaanui Trust protects personal information to prevent loss or misuse and will
not hold information for longer than necessary. Waahi Whaanui has strict confidentiality
procedures for staff and caregivers.
Correction
If you think that information held regarding yourself is incorrect you can ask for it to be corrected.
Access
You can ask Waahi Whaanui for access to personal information we hold about you, providing Waahi
Whaanui can retrieve and copy it. The Privacy Act gives Waahi Whaanui Trust the
right to refuse access if there is good reason. Access may not be possible if it is evaluative
material (opinions – not in fact) or the information has been supplied in confidence for example:
- Case notes
- Referrals
- Police checks on staff/caregivers and foster parents.
Disclosure
Personal information will not be used for purposes other than that for which it was originally collected,
with the following exceptions; if Waahi Whaanui must disclose information about you to someone
else, it will be with your consent, or:
- The person working with your needs to share information with other staff to help provide you with the service needed.
- Waahi Whaanui Trust is legally required to provide the information.
- Others are at risk and sharing information prevents harm to that person (children being abused).
- For statistical reports and research where you are not identified as an individual.
